The way it works now
Revenue is not profit, and last season proved it.
A full schedule, a busy crew, and a number at the end that does not match how hard everybody worked. Without cost per job there is no way to tell which work to chase and which to stop bidding.
- A job that felt profitable and was not
- Material overruns discovered on the supplier statement
- Next year's bids built on last year's labor rates
Profit per job, not just revenue.
-
Costs logged as the job runs
Crew hours from daily logs, materials as they are used, equipment days as they are booked.
-
Estimate against actual
Every job shows what you priced next to what it cost, category by category.
-
Margin by job type
Patios, walls, driveways, kitchens and pool decks ranked by the margin they actually return.
-
Burdened labor
Crew hours costed at your real rate rather than the hourly wage, so the margin is the true one.
-
Revenue and aging trends
Six months of collected revenue, outstanding balances and what is overdue, in one view.
-
Weighted pipeline forecast
Open opportunities weighted by stage, so you can see the season before it arrives.
How it works
Four steps, start to finish.
- 1
The estimate sets the baseline
What you priced becomes the budget the job is measured against.
- 2
The field logs the cost
Crew hours, materials and equipment come from daily logs, not a month-end reconstruction.
- 3
Compare while it runs
Overruns surface with the job still open and something still to be done about them.
- 4
Bid better next time
Margin by job type tells you what to chase next season and what to walk away from.
It costs a patio the way a patio is built.
Generic job costing wants a chart of accounts. Yours needs tons of base, pallets of pavers, bags of sand, excavator days and crew hours, priced the way you actually buy them.
- Material cost tracked in the unit you purchase in
- Equipment day rates counted in job cost, not buried in overhead
- Crew hours pulled from daily logs automatically
- Change orders costed alongside the original scope

What is job costing for a hardscaping business?
Job costing means tracking what a specific job actually cost in labor, materials, equipment and subcontractors, and comparing that against what you estimated. It is the difference between knowing your revenue and knowing your profit.
How are labor costs captured?
Crew hours come from the daily logs the foreman already fills out, costed at your burdened rate. There is no separate timesheet process to keep up.
Can I see which types of jobs are most profitable?
Yes. Margin is reported by job and by job type, so you can compare what a paver patio returns against a retaining wall or an outdoor kitchen, and bid accordingly.
When do I find out a job is over budget?
While it is still running. Costs are logged daily, so an overrun shows up in the first week rather than at the final invoice.
Does it include a forecast?
Reporting includes a weighted pipeline forecast built from open opportunities and their stage, which is what tells you whether the spring schedule is genuinely full.
